Administrative Assistant

Description

The administrative assistant directly reports to the department chair. Provides administrative and secretarial support, including special projects, office work flow, appointments, correspondence, manuscripts, grant proposals, budgets, data compilation and records control. May perform duties of a sensitive and confidential nature.

Examples of Duties

  1. Oversees the general operation of the office and serves as the receptionist for the department.
  2. Assists the chair and faculty in preparing correspondence, syllabi, tests, and other documents.
  3. Maintains the budget records of the department. Monitors monthly expenditure statements for budgets and prepares documents required to maintain balanced accounts for review and approval by chair.
  4. Handles inquiries, including some general advising, along with problem situations in the absence of the chair.
  5. Monitors grade reports and textbook orders. Coordinates the departmental library book orders. Secures and provides desk copies of textbooks, manuals.
  6. Prepares and distributes teacher instruction and information packets for each course taught by the department.
  7. Takes departmental and committee minutes.
  8. Coordinates special projects and events, office activities and committee meetings.
  9. Maintains calendar, schedules appointments and meeting rooms.
  10. Makes travel and accommodation arrangements.
  11. Locates and compiles information and formats reports, graphs, tables, records and other sources of information. Assembles and categorizes facts and figures for written computation and calculations.
  12. Uses various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports.
  13. Maintains records through filing, retrieval, retention, storage, compilation, coding, updating and destruction.
  14. Uses computer to prepare manuscripts, grant proposals, statistical reports, tables, and charts using knowledge of scientific, medical, literary, or other technical terms.
  15. Types routine correspondence and reports from dictation or handwritten copy using computer.
  16. Performs other duties as assigned by department chair.

Education

Bachelor’s degree or equivalent of an Associates degree plus experience.

Experience

Three to Five years administrative/office experience required. Five years preferred. Additional education may be substituted for years of experience. Experience working with various software applications required.

Skills

Proficient in Microsoft office products, including Word, type 55 wpm with accuracy. Good organizational skills. Excellent interpersonal communication skills. Ability to take dictation, either shorthand or transcription. Able to work independently, meet deadlines.
