Psychiatric and Mental Health Advanced Practice Program Coordinator

Description

The Psychiatric and Mental Health Advanced Practice Program Coordinator reports to and works in consultation and collaboration with the School of Nursing Graduate Program Coordinator to optimally implement policies and procedures for the psychiatric and mental health nurse practitioner program.

Examples of Duties

  • Advises current and prospective students regarding prerequisites, course scheduling, sequencing and course content; provides clarification of academic policies as they pertain to individual students.
  • Coordinates the student admission process, notifying students of acceptance or denial and preparing new student files.
  • Assigns faculty advisors for students; revises new master list each fall.
  • Processes graduate student paperwork, including but not limited to petitions, Requests for Leave of Absence, Independent Study, Add/Drops, Incomplete and Grade Change forms.
  • Maintains student records and ensures timely submission of grade rosters to the Graduate Registrar.
  • Works with the Graduate Program Coordinator to coordinate New Student Graduate Orientation for each fall.
  • Assists the Graduate Program Coordinator to facilitate the challenge exam process with students, and notifies student of grade received and Registrar of successful completion, as indicated.
  • Works under the supervision of the Graduate Program Coordinator to track course sequencing from student advising records and enters data. Assists with forecasting the number of faculty required.
  • Maintains and updates the Psychiatric and Mental Health Nurse Practitioner Program current student and alumni directories.
  • Liaisons with the University Graduate Center and Registrar Office staff as directed.
  • Works with the program director to develop and maintain an up to date Psychiatric and Mental Health Advanced Practice Program Policy and Procedure Manual.
  • Attends Psychiatric and Mental Health Advanced Practice meetings – records, prepares and distributes minutes to faculty.
  • Assists the program director with program related correspondence, student references, curriculum and course management, student files and special projects.
  • Assists the program coordinator in the preparation of the class schedule each semester.
  • Works with the program director to develop, coordinate, collect, and maintain student databases for California Department of Mental Health Nurse Practitioner Stipend Award funds, student application and disbursement funds, and similar programs. Works with Student Financial Services concerning any needed adjustments to student accounts.
  • In consultation with the program director and the Graduate Center , oversees the allocation, awarding, and monitoring of local, private, state, and federal scholarship, traineeship, stipend, and loan repayment monies to qualifying students, and works with University Accountant for Grants Management.
  • Functions as the primary liaison between graduated students who received funding the California Department of Mental Health Nurse Practitioner Stipend Program and the School of Nursing, maintaining a current and accurate graduated student data base that includes detailed employment seeking efforts and job acquisition.
  • Participates with the program director in advisory board and interagency collaboration.
  • In collaboration with the program director, prepares curriculum and program materials.
  • Maintains student academic records in an excel data base.
  • Maintains an updated list of student contact and work information.
  • Assist program coordinator to compile data for American Association of Colleges of Nursing annual survey and other monitoring agencies as indicated.
  • Maintains confidentiality with regard to student, staff, faculty, and interagency communication.
  • Assists program director with preparation of department budget.

Education

Baccalaureate degree.

Experience

Three years paid general office experience. Excellent clerical and word processing skills. Organizing, prioritizing, initiating projects. Establishing and maintaining excel databases.

Skills

 Ability to master data additional tracking programs (e.g. Typhon).  Strong interpersonal collaborative and problem solving skills.  The ability to maintain calm and focused in a hectic environment.  The ability to exercise discretion and judgment in performing duties and working with confidential files.  Ability to work with minimal supervision.
