Administrative Assistant (Temporary)

Description

The Regional Center Temporary Administrative Assistant will serve as administrative support to select Murrieta Regional Center staff and faculty. This is a temporary position with Azusa Pacific University.

Examples of Duties

  1. Provides staff support and administrative assistance to the Regional Center Program Representative, Assistant Director and Executive Director.
  2. Directs routing of incoming telephone calls and “walk-in” prospective student inquiries.
  3. Assists in accurately responding to student inquiries regarding such issues as (but not limited to) transfer of course units, course waivers, registration for classes, graduation requirements, financial aid, program and course prerequisites, student transcripts, independent study, graduate school admission requirements, academic calendar, course add/drops, etc.
  4. Assists inputting prospective student inquiries into University’s data base system.
  5. Works with Program Representative to assist following-up on prospective student inquiries by telephone and schedule initial advisement appointments with prospective students under direction of Regional Center Programs Representative.
  6. Assists facilitating transmission of information to students regarding academic program changes, student related deadlines, CBEST/CSET/GRE/RICA preparation courses, and availability of on-site librarian assistance.
  7. Assists center-assigned faculty with duplication requests, classroom instructional equipment use, classroom preparation, facility review and student services general needs.
  8. Performs other related duties as assigned by the Regional Center Executive Assistant, Client Services Coordinator or Regional Center Executive Director.

Experience

Three (3) to five (5) years secretarial/customer service experience.

Skills

Organizational, client centered, customer service, problem resolution, motivational, high verbal and written communications skills; exceptional listening skills. Ability to balance and process a variety of tasks and demands. Data entry/typing experience. Ability to maintain the integrity of confidential information. Knowledge of office practices and computer operations.

Mental Demands

Self starter. Ability to work under pressure to meet deadlines. Able to work independently and as integral team member. Ability to communicate effectively in written and verbal formats. Strong interpersonal and networking skills, including ability to work effectively with students, prospective students, faculty, staff, and immediate supervisors. Ability to exercise good judgment and discretionary skills on when to act independently and when to consult with others prior to taking action

Physical Demands

Requires sitting occasionally for extended periods of time. Repetitive hand motions for operating computer mouse and keyboard. Hearing and speaking on the telephone. Ability to lift, pull, bend, and grasp; occasionally to lift up to 20 lbs.; reach top of five (5)-drawer file cabinet; safely climb short ladder.

Visual Demands

: Computer monitor, reading. Vision correctible to 20/20.

Pleasant office setting, air conditioned.
